Responsibilities

The HR Operations Administrator (HROA) supports the HR Operations function by performing a wide variety of tasks with the purpose of supporting the Benefit and Payroll teams. This role is the daily support for all benefit/payroll items, including but not limited to questions submitted via email or ticketing system, maintaining up-to-date information to team members through company intranet, invoicing for all benefit plans, and managing benefit enrollment requests within ADP.  This position serves a dual role and will interact will all levels of the organization while maintaining a high level of confidentiality and outstanding communication.

  • Manage and collaborate with the Benefits and Payroll teams on a variety of team member situations relative to incoming email inbox traffic and tickets
  • Responsible for all benefit invoicing and reconciling Support the day-to-day administration for all benefit programs and events 
  • Mail contact/distribution for HR Operations team
  • Support report creation, editing and troubleshooting in HRIS system (ADP training required)
  • Support annual Open Enrollment
  • Complete Verification of Employment and Medical Support Orders, letters of employment verification of benefit verificationSupport annual EEO-1 filing and ongoing FLSA review
  • Complete Bureau of Labor Statistics (BLS) Survey’s
  • Deliver quality communications, reporting and presentation materials, as needed, for various audiences (team member through executive level)
  • Update, align and maintain communication across a variety of distribution outlets to ensure we are reaching team members in as many different ways as possible
  • Responsible for managing all enrollment activity, including life events, nudging new hires and aging off dependents
  • Responsible for data integrity and ongoing auditing
  • Directly communicates with new hires and terminated team members via email weekly to provide guidance on “what’s next”
  • Support the wellness initiative; scheduling speakers, educators and events, creating monthly postcard mailing, awards and recognition
  • Continuous improvement; find and recommend opportunities for improvements to existing systems and processes, driving efficiencies
  • Ensure compliance with applicable government reporting regulations and requirements including, but not limited to, IL EHB annual disclosure, MA HIRD, Medicare Part D Notice, IL Equal Pay Act annual reporting, CAA RxDc annual reportingCollaborate with internal partners ensuring data integrity across all areas of NADG
  • Support Payroll team as needed in processing PAFs and Terminations

Qualifications

So How Can You “Fill” This Role?

  • Associate’s Degree in Human Resources or related field
  • Advanced proficiency with Excel (v-lookups, pivot tables, if/then formulas)
  • HRIS experience (ADP ideal) with foundational understanding of HRIS systems design, HR reporting, workflow, and transactional entries
  • A ‘continuous improvements’ mentality
  • A ‘think twice act once’ mindset
  • Excellent project and time management skills with attention to detail and discipline to organize, prioritize and self-direct with minimal supervision
  • Knowledgeable in compliance management, benefit legislation, ERISA, HIPAA, FMLA, COBRA, FLSA and ACA
  • Ability to build effective work relationships at all levels of the organization
  • Strong analytical, problem-solving and critical thinking skills
  • Ability to perform in a fast paced, dynamic environment, and manage multiple priorities with flexibility, organization and grace
  • Must be able to act in an ethical manner and maintain highly confidential and proprietary information
