The Facilities Coordinator will be a key role on the Facilities & Construction team at North American Dental Group supporting repairs, maintenance, real estate and new construction for more than 100 offices. The position is responsible for resolving issues and completing a wide variety of tasks to ensure effective operations. The Facilities Specialist will work Office Managers, Regional Directors, and team members in many other departments to ensure communication and information is being transferred and deadlines are being met.


  • Provide necessary assistance to the facilities department, field, and other departments as needed. This will include a wide variety of types of tasks. Some examples include but are not limited to: obtaining bids from contractors, placing orders, following up to assess status and resolve issues, contacting landlords, collecting information, tracking detailed budgets and expenses, and coordinating projects with multiple stakeholders.
  • Plan and support facilities through detailed research and report out of information.
  • Reviewing leases to assess responsibility for repairs and maintenance.
  • Collect and analyze data.
  • Work in partnership with teams to ensure that updates on progress are communicated and tasks are kept to time schedules.
  • Communicate changes in office locations and other information to all impacted vendors.
  • Place orders with vendors. Ensure quality and on-time delivery, and resolve any issues.
  • Prepare and maintain records of purchase and payments and preserve receipts for future reference.
  • Provide accurate figures for the amount spent on facilities, maintenance, construction and real estate.
  • Create and update project plans and data spreadsheets.
  • Keep organized records of progress and completion of tasks and diligence items.
  • Travel to dental offices as needed to collect information, complete projects and resolve issues.
  • Expected to work all scheduled work days, during scheduled hours and report to work on time.
  • Other special projects or responsibilities as assigned.


  • High school diploma or GED. College degree strongly preferred
  • Property management, maintenance and/or facilities experience is preferred but not essential
  • Ability to work on projects and lead tracks of work is important.
  • Attention to detail, time management, excellent communication, and computer application skills
  • Dedicated to provide excellent customer service
  • Adaptable to work in a team or independently
  • Ability to multi-task and meet deadlines
  • Proficient in Microsoft suite (Excel, PPT, Word)
